Terms & Conditions
Cancellation Policy:
- 70 days or more prior to departure: Forfeiture of deposit
- 69 – 46 days: 25% per person
- 45 – 15 days: 75% per person*
- 15 – Day of departure: 100% per person
*The above applies to self-drive, private chauffeur, and custom vacations. Any groups including but not limited to special ad-hoc groups run by Crystal Travel & Tours, Inc. are non-refundable from 45 days before the date of departure. A land-only deposit is also required at time of booking and is non-refundable.
Planning Deposits
Your first vacation quote, and up to two revisions, for trips of 9 or fewer days, and 45 days in advance of travel, are complimentary. If an itinerary requires further revisions subsequent to this, we will require a non-refundable deposit of $75 per person in order to continue.
If you are requesting a quote for a vacation that is 10 days in length, or with travel dates within 45 days, or to a non-core destination, a deposit of $75 per person will be required in order for us to begin working on your proposal. If you are intending to travel within 21 days of inquiring, we may be unable to fulfill your request.
Planning deposits can then be put towards the cost of the trip should you decide to proceed with the booking.
Surcharges
Prior to full payment there is a potential for a price increase(s) due to fuel surcharges imposed by airlines or other suppliers, as well as the potential for increases in government-levied taxes and fees. Once full payment is made, there will be no price increases. Passengers may accelerate full payment to avoid any price increases. Once issued, airlines tickets are no longer subject to potential increases but are subject to cancellation fees and penalties and may be fully non-refundable.
Accommodation
Land arrangements are provided as described in each tour program. Crystal Travel & Tours, Inc. reserves the right to substitute hotels for accommodations in similar categories. Accommodation in B&Bs (farmhouses, town and country homes) is clean, comfortable and includes private bathrooms.
Visits, entertainment and other features
Crystal Travel & Tours, Inc. reserves the right to substitute visits, entertainment, itineraries and other features when establishments are closed or cannot be visited for reasons beyond our control, or for the general convenience of the group.
Chauffeur-drive Cars
Rates are calculated on a maximum driving time of 7 hours per day.
Binding arbitration
Any disputes concerning this contract, the brochure or other literature about your trip or the trip itself shall be resolved solely and exclusively by binding arbitration according to the then current commercial rules of the American Arbitration Association. Any such arbitration will take place in Suffolk County, Massachusetts. In any such arbitration, the substantive (but not procedural) law of the Commonwealth of Massachusetts will apply. The arbitrator and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this contract, including but not limited to any claim that all or any part of this contract is void or voidable.
Validity
Unless otherwise indicated, all prices are shown in U.S. dollars and are calculated on currency rates and fares existing at the time. Crystal Travel & Tours, Inc. reserves the right to alter prices at any time prior to departure and without prior notice if circumstances so warrant.
Any devaluation or revaluation of currencies may affect published prices.
Disclaimer of liability
Crystal Travel & Tours, Inc. is acting as an agent for suppliers in selling travel-related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.). This agency, therefore, shall not be responsible for breach of contract of any intentional or careless actions or omissions on part of such suppliers, which result in any loss, damage, delay, or injury to you or your travel companions or group members. Unless the term “guaranteed” is specifically stated in writing on your tickets, invoice, or reservation itinerary, we do not guarantee any of such suppliers’ rates, bookings, reservations, connections, scheduling, or handling of personal effects.
Crystal Travel & Tours, Inc. shall not be responsible for any injuries, damages, or losses caused to any traveler in connection with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, diseases, local laws, climactic conditions, criminal acts or abnormal conditions or developments, or any other actions, omissions, or conditions outside of its control.
Traveler assumes complete and full responsibility for, and hereby releases Crystal Travel & Tours, Inc. from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations, during the length of the proposed travel.
By embarking upon his travel, the traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. Traveler is hereby warned of such risks, and is advised to obtain appropriate insurance coverage against them. Traveler’s retention of tickets, reservations, or bookings after issuance shall constitute consent to the above, and an agreement on his part to convey the contents hereto to his travel companions or group members.

Airfare cancellations
Many airfares require instant purchase and are non-refundable. No refund can be made for non-refundable airfares. As each airline’s cancellation conditions vary; details should be requested at time of booking.
Air transportation
Crystal Travel & Tours, Inc. has selected airfares that are most suitable when combined with our land arrangements. As airfares, fees and taxes change frequently, airfares are guaranteed only once they have been paid and tickets issued. You must ensure that the name on the Crystal Travel & Tours, Inc.’ invoice matches the passport as corrections or changes requested after reservation has been made are subject to cancellation or change fees. Crystal Travel & Tours, Inc. cannot issue copies of airline tickets for clients with frequent flyer programs.
Notice to Passengers
All airfares are subject to availability at time of booking and are not guaranteed until purchased and the e-tickets have been issued.
Airfares may change without notice prior to e-ticket issuance. Fares may not be available on all flights and/or travel dates while certain fares may only be available for new bookings.
Fares are inclusive of government taxes and fees, including, without limitation, Passenger Facility Charges, September 11th Security Fees, Federal Segment Taxes for domestic US travel, US Arrival/Departure Taxes for international travel; US government excise tax for Alaska and Hawaii travel, and other governments’ fees and taxes for international travel.
Taxes and fees are subject to change as required by law or exchange rate if collected in a foreign currency. Full fare price, including all applicable taxes and fees, must be paid at the time of purchase. Taxes and fees not collected on the e-ticket (for example, a departure tax collected at an airport payable directly to a government official) are not included in the fare and must be paid directly to the relevant authority.
Crystal Travel & Tours, Inc. and its agents endeavor to secure the best available airfare, suitable for your travel requirements, based on availability at the time of booking, accessible sources of information and knowledge of agents involved.
In light of the deregulation of airline fares, this agency cannot guarantee that the fare indicated on an e-ticket will be the lowest possible fare at departure. Please contact Crystal Travel & Tours, Inc. before departure if you wish to recheck any newly published fare, that may correspond with your travel requirements. Please note that cancellation or change of reservation fees may apply to your existing e-tickets.
Please check your airline e-ticket and reservation when you receive it and contact us immediately if you have any questions. The retention of e-tickets, reservations, or bookings after issuance shall constitute acceptance of all the provisions in the conditions listed hereto as well as those terms and conditions set down in the announcements and circulars of the airline.
Most discount and promotional airfares have certain restrictions, including but not limited to, being fully non-refundable and/or having change of reservation fees attached to them.
Some fares are subject to date and time of travel restrictions and many fares also require minimum and/or maximum stays to qualify for them. If you need to cancel or change your e-ticket reservation, please contact us immediately but no later than prior to the time of departure of the next scheduled flight. Failure to contact us prior to a scheduled departure (if you ‘no-show’ for a flight) will result in the forfeiture of the e-ticket value as well as the cancellation of all downline bookings for that e-ticket reservation.
Proof of identification is required for commercial air travel. For domestic travel in the USA, a valid government issued photo ID (such as a driver’s license) is required. For international travel, a signed, valid passport is required for each person, including children. Additionally, some destinations may require a visa to enter. It is the ultimate responsibility of the person traveling to ensure he has all the necessary travel documents to complete his journey.
For all domestic travel within the USA, the Transportation Security Administration (TSA) requires us to submit the passenger’s full name and date of birth at time of booking. For all international travel originating in, terminating in, or transiting via the USA, the TSA requires each person’s full name, date of birth, passport number, passport date of issue and issuing authority before an e-ticket can be issued.
The TSA mandates the each e-ticket reservation match exactly with the valid form of identification used at time of travel. Thus, please ensure you supply us with your full legal name as it is appears on your photo ID or passport.
Any personally identifiable information we collect from you is subject to our Privacy Policy.
Please check-in at least 2 hours prior to scheduled departure for domestic flights and at least three hours prior to scheduled departure for international flights. Failure to check-in in a timely manner may result in the airline denying you boarding and forfeiture of your e-ticket value.
Some e-tickets include checked baggage in the airfare and some do not include any checked baggage allowance. Please consult one of our agents to verify how much, if any, checked luggage you are permitted with your airfare purchase.
Crystal Travel & Tours, Inc. reserves the right to charge processing fees in the event of refunds, cancellations and/or special services rendered.
Federal law forbids the carriage of hazardous materials aboard the aircraft, in your luggage, or on your person. A violation can result in five years imprisonment and penalties of $250,000 USD or more(49 U.S.C. 5124). Maximum Age : Customers aged between 75 – 79 years can rent with specific conditions :-

Driving Licence : Must hold a current national licence valid for at least 2 years or more at time of
Rental. Provisional or Learner drivers or seriously endorsed licence holders are not
Eligible to rent a vehicle e.g drink driving disqualification.

Insurance
The following insurances are included in the Crystal Travel – Limited Excess Programme :-
1 ) Compulsory Motor Insurance
2 ) Collision Damage Waiver ( CDW )
3 ) Theft Protection ( TP )
Compulsory Motor Ins : By Irish Law, Hertz must provide Insurance for any damage to any other vehicle /
Property or Injury to another person ( including death ). Compulsory Motor
Insurance does not insure against damage or repairs to the Hertz car ( see Collision
Damage Waiver–CDW below ) or does not insure against injury or loss to the Hertz
Driver.
Collision Damage Waiver : Collision Damage Waiver ( CDW ) means the Hertz Driver is insured in relation to
Damage to the Hertz vehicle subject to the reduced excess to be paid by the
Hertz Renter.
Theft Protection : Theft Protection ( TP ) is included in the Limited Excess Package – which provides
Insurance for the rental vehicle in the event it is stolen, subject to the reduced
excess to be paid by the Hertz Renter.
Limited Excess Package : On the “ Limited Excess Package “ – the excess is reduced to the following
Amounts excluding tyres, wheels, keys, fuel contamination or gross negligence:-

If an incident occurs during the rental the reduced excess amount “ may “ be

Optional Insurances available to the renter
Driver & Baggage : DBP / PAI is optional at EUR 5.50 per day or EUR 38.50 per week.
Additional Driver : A charge of EUR 10.00 per day, per each additional driver will be applied,
including tax.
Damage Procedure
At the start of every rental, each renter is asked to familiarise themselves by viewing digital photographs of the car with annotations circled in red to alert to any Pre-existing damage or defects recorded by the representative when carrying out the Vehicle Pre-Inspection ( VPI ). The photographs of the rented car are assigned at the desk to the renters Rental Agreement number and a copy of the PDF report is emailed to the customers email address.
When renters receive their vehicle they are asked to re-check that the vehicle matches the VPI – if not the report can be amended prior to departing & a supplement report is emailed to the renter reflecting the changes. In addition, the renter can upload their own photographs and description of any discrepancies to –
www.hertzvpi.ie within the first 24 hours of hire.
In the event of damage to the rental vehicle – renters are liable for the Limited Excess charge ( or standard excess if the LEP has been revoked due to an incident ) . Clients may also be liable for the following additional amounts :-
A ) Damage to the vehicle clutch assembly which is determined to be caused by driver error.
B ) Damage to the vehicle as a result of driving through flood water and / or water damage.
C ) Damage to the vehicles engine and / or components caused by gross negligence.
D ) Damage incurred as a result of contaminated / incorrect fuel.
E ) Damage to the vehicle caused by the loss or theft of the keys or locking the keys inside the vehicle.
F ) Damage sustained by the vehicle being driven off-road.
G ) Call-out charges in the event of Emergency Roadside Assistance being required.
H ) Recovery charges by specialist equipment
The vehicle is checked in at time of return & compared with the VPI report created at time of pick up. Video calling is available on return for the Hertz Representative to contact our Head Office, if they are unsure whether or not the damage was pre-existing or disputed. New damage is recorded and a copy of the report is sent again to the customers email & our Damage / Claims Department for processing.
All incidents with the rental vehicle ( traffic accident, loss, damage or theft of the vehicle ) should be reported to Hertz Head Office immediately and to the Police. If there are 3rd parties involved – their details should be obtained ( vehicle registration numbers, owners, drivers, insurers and policy numbers and of all witnesses names, addresses & telephone numbers ). An incident report form will need to be completed also.
Optional Extra’s
Baby Seats : Available on request – baby seats are suitable for children aged between 6
Months – 4 / 5 years. A charge of EUR 40 per hire will be applied and if the
Seat is not returned at the end of rental a charge of EUR 100 is applied.
Booster Seats : Available on request – booster seats are suitable for children aged between
5 – 11 years. A charge of EUR 15 per hire will be applied.
GPS / Neverlost : GPS Units ( Hertz Neverlost ) can be hired at a charge of EUR 11.35 per day
Or EUR 68.10 per week, including tax. This charge is payable direct by the
Renter.
Fuel : Vehicle is provided with a full tank of fuel, once returned full no additional
Fuel charge to be applied. If not returned full, fuel charge will be applied
Plus a refuelling service charge of EUR 9.50 including tax.
Fuel Purchase Option : Renters have the option of prepaying for a tank of fuel at the start of the
Rental at a discounted rate ( to be advised at time of pick up ). With this
Option renters should aim to return their vehicle empty or as close to empty
As possible, as there is not a refund for unused fuel.

Traffic fines / Toll charges
The renter is fully responsible for all fines and any consequences of the violation of traffic & parking prohibitions during the rental. Where Hertz is required to pay such fines, the renter agrees that we may debit their credit or charge card during the rental or after the return of the vehicle with the amount of any fine, plus an administration fee.
A “ No Barrier tolling “ system is now in operation on the Dublin M50 Motorway between Junction 6 ( N3 Blanchardstown ) and Junction 7 ( N4 Lucan ). All Hertz vehicles have been registered with the Toll Operator and therefore Hertz will be charged automatically for each toll incurred. A Toll Fee of EUR 3.10 per usage will be charged directly to the customer on their credit card. Toll prices are subject to change.
At all other Tolling Booths in Ireland – barriers are in place & cash payment facilities are available – the renter is responsible for payment at each of these.

Damage Waiver (DW) | Damage Waiver (DW) reduces the liability of the renter in the event of damage or theft of the vehicle. Refueling | If the renter does not choose to purchase an optional fuel product at the start of the rental period and does not return the vehicle with the same level of fuel as at the start of the rental period (as indicated on the Rental Agreement) the renter will be required to pay a refueling service fee calculated as the difference between the fuel level recorded on the Rental Agreement and that recorded upon the return of the vehicle multiplied by the fuel price displayed at the branch, plus a refueling charge of 15 EUR. Cross Border Policy | Customers who collect a vehicle from the UK mainland and wish to drive within the Republic of Ireland or mainland Europe are required to purchase European Travel Coverage. European Travel Coverage provides the customers with our written consent (VE103B form) to drive the vehicle in the countries stated below and to access 24/7 international breakdown cover through the AA. In all cases, customers must inform the rental branch of their intention to leave the UK mainland with the vehicle and require our authorization. Customers are required to inform the rental branch with no less than 72 hours notice prior to collecting the vehicle to arrange their European Travel Coverage. European Travel Coverage is only available to customers paying with a credit card and the vehicle must only be used in the following countries: Austria, Belgium, Croatia, Czech Republic, Denmark, France, Germany, Ireland, Italy, Netherlands, Poland, Slovakia, Slovenia, Spain, Switzerland, UK. This includes the destination and any countries customers might travel through. Premium, Luxury and Executive vehicles are excluded from the European Travel Coverage product and are therefore not allowed to leave the country. |

Damage Waiver | Damage Waiver (DW) reduces the liability of the renter in the event of damage to or theft of the vehicle. If DW is not included in the reservation, the renter has full liability for the vehicle. DW is available for purchase. If included in the reservation, the excess amount is 1500 GBP for all Cars and SUVs of the categories Mini, Economy, Compact, Intermediate and Standard. All other vehicles have an excess of 1750 GBP. Excess will be charged every time a vehicle is damaged, lost or stolen. Before purchasing DW it is advised to determine, if a personal coverage is adequate to cover damage, theft, loss of revenue, administration fees, diminishment of value, and any towing, storage or impound fees. If DW is declined, the renter will be required to pay these charges and seek compensation through their carrier of personal coverage. DW is not insurance. |
Damage Waiver Exclusions/Voids | Damage Waiver does not cover: damage caused by the use of the wrong fuel or any failure to take all reasonable measures to look after the vehicle keys or any other device which unlocks the vehicle and/or enables the vehicle to be started. Damage Waiver will be voided if damage is caused by: failure to secure the vehicle keys and failure to lock the vehicle, unauthorised repairs on the vehicle, failure to stop using the vehicle once a fault becomes known, use by an unauthorised driver, use by an unlicensed driver, use for hire and reward, use of vehicle for any illegal purpose or deliberately causing injury or damage to property, racing, pacemaking, or teaching someone to drive, use whilst under the influence of alcohol or drugs, use of the vehicle outside of the United Kingdom without our written permission, overloaded with more passengers than seatbelts, towing, use off road, transporting dangerous or noxious substances, use of vehicle in a reckless manner, or use of vehicle on an aerodrome, airfield, airport or military installation. |
Debit Card Policy | Debit cards are accepted. Full Size SUVs, Large Passenger Vans and Cars of the categories Elite, Fullsize, Premium, Luxury and Executive require a credit card. Renters with residence in the UK who wish to use a debit card will need to pass an online address check as verification of residence at their given address. Any customer failing the check will not be allowed to rent. Airports Only – Debit cards are accepted at the time of rental with a round trip plane ticket or flight itinerary that shows the renters name and discloses the return date. Hand Control Policy | Renters who have, or are impacted by an impairment, disability or health condition, can request a vehicle adjustment at no extra cost. The adjustments include portable hand control, steering ball, quad/tetra grip steering wheel attachment, indicator extension, assisted hand break release and foot pedal extension. Renters who do not hold a driving license because of a disability, can still rent a vehicle using a surrogate driver at no additional cost. The renter must be accompanied by a driver who meets the renter requirements. The surrogate driver does not need to provide a valid method of payment. One Way Drop Policy | All rentals where the vehicle is not returned to the same location as it is collected from will be subject to a one way fee. The one way fee varies based on car category, location and pick up date. The exact amount of the one way fee will be displayed during the reservation process when entering the dates, desired route and car category. |
Refueling Service | If the renter does not choose to purchase an optional fuel product at the start of the rental period and does not return the vehicle with the same level of fuel as at the start of the rental period (as indicated on the Rental Agreement) the renter will be required to pay a refueling service fee calculated as the difference between the fuel level recorded on the Rental Agreement and that recorded upon the return of the vehicle multiplied by the fuel price displayed at the branch, plus a refueling charge of up to 15 GBP. Unused or excess fuel will not be refunded. |
Renter Requirements | All drivers must present a full valid and unexpired driving license. If the driving license is written in a language and characters different to those of the country of rental, an International Driving Permit is also required. Renters are advised to check whether local authorities require foreign drivers to present an International Driving Permit to avoid risk of potential fines. Roadside Protection | Roadside Assistance Protection (RAP) is an optional 24-hour emergency service including tyre and glass repair or replacement costs except when part of a larger repair, replacement keys costs and all recovery and call out charges as result of a fault caused by the renter. RAP does not apply if there is a breach of the rental agreement or if a wrong fuel type is used. The renter pays a flat-rate fee that covers all roadside assistance services. Before purchasing RAP, it is advised to determine if a personal coverage is adequate to cover these charges. If RAP is declined, the renter will be required to pay any applicable charges and seek compensation from the carrier of personal coverage. RAP is not insurance. |
PAYMENTS & FEES
DEPOSIT PAYMENTS: A non-refundable deposit of $250 per person is required for all guided coach vacation packages, and all self-drive vacations. Deposits are required within 5 days of making the reservation or the quote will automatically expire. Certain exclusive promotions may require higher deposits or payment in full. Group and custom private driver deposits vary and are governed by individual contracts.
FINAL PAYMENTS: Full payment must be made no later than 70 days prior to departure date for vacation packages, self-drive trips and private driver vacations. If payment is not received as scheduled, the reservation will automatically cancel, and the land deposit payment will be forfeited.
CREDIT CARD PAYMENTS: We accept most major credit cards. Travel Agents making payment on behalf of a client must provide us with the cardholder’s information, including billing address and telephone number and must have the cardholder’s signature on file.
EXCLUSIONS: All items of a personal nature (room service, beverages, telephone charges, laundry, etc.) and meals not specified on the tour itinerary are not included in the cost of the tour and must be paid by the client.
TIPS: Tips for personal services and to tour directors and drivers are not included in tour cost and left to the discretion of the traveler.
CANCELLATIONS OR CHANGES
CANCELLATION PENALTIES: Penalties per person apply: 70 or more days prior to departure forfeiture of deposit; 69-16 days prior 30% per person; 15-8 days prior 50% per person; 7-1 days prior 90% per person; on day of departure 100% per person. If clients cancel from one tour and rebooks on another tour or another date, cancellation penalties will apply. Group and custom private driver cancellations policies vary and are governed by individual contracts.
NOTIFICATION OF CANCELLATIONS: CIE Tours must be notified of cancellations either by phone or via email to [email protected] prior to tour departure. It is the client’s responsibility to ensure that any notification of cancellation is received by CIE Tours and notification shall be deemed to have taken place on the date of receipt by CIE Tours. Minimum cancellation penalty is the deposit amount.
AIR BOOKINGS & CANCELLATIONS: Terms of airfare purchased through CIE Tours are governed by each airline’s individual policies. As each airline’s cancellation conditions vary, details should be requested at time of booking, or check the airline’s website for their cancellation policy. In all cases, non-refundable airfare and instant purchase tickets are not eligible for refund.
CIE TOURS CANCELLATIONS: If it becomes necessary for any reason for CIE Tours to cancel a trip prior to departure, including but not limited to cancellations occasioned by governmental actions or restrictions or the unavailability of travel, CIE Tours will immediately rebook the guest on a future departure date at no additional land cost or provide a voucher for Future Travel Credit. CIE Tours cannot accept responsibility for any additional costs or fees related to a cancelled tour booking or for any cancellation penalties due to non-refundable airfares. Travelers specifically agree and acknowledge that these are their sole remedies, and specifically agree not to dispute or challenge credit card or debit card charges related to such travel. In the unlikely event that CIE Tours must cancel a Guaranteed Coach Tour, we will offer either the next available date at no additional land cost or 100% refund of all land payments made to CIE Tours. For air purchased through CIE Tours, we will provide reimbursement for 100% of the air cost. For air purchased independently, we will reimburse or absorb documented airline penalties/fare changes not exceeding $350 per person.
FUTURE TRAVEL CREDITS: Any Future Travel Credits issued will be in the value of the amount paid for the land portion of the trip. The Future Travel Credit is not redeemable for cash under any circumstances but can be transferred to another person.
UNUSED TOUR ARRANGEMENTS: CIE Tours cannot make refunds or exchanges for unused accommodations, services or features of any tour unless agreed upon in writing prior to departure.
VACATION PACKAGES REVISION FEE: Revisions to vacation packages, excluding cancellations and/or tour date changes, can be made after the original booking has been processed but will incur a $50 handling fee per booking in addition to any applicable cancellation penalties. All revisions must be requested at least 30 days prior to departure.
Changes to group and custom private driver vacations are governed by individual contracts.
BEFORE YOU TRAVEL
LEGAL NAMES: Traveler names provided must match names listed on traveler passports exactly. Spelling corrections requested after deposit has been applied to the reservation will incur additional fees.
PASSPORTS & VISAS: It is the travelers’ responsibility to obtain the correct travel documentation (passport, visa, identifications) for the destination(s) to be visited. Passports must be valid for at least 6 months beyond the completion of travel.
TRAVEL ITINERARIES/DOCUMENTS/TRAVEL PACKS: Documents and travel packs for U.S. guests are usually mailed approximately 30 days prior to departure provided full payment has been received. If documents are required earlier, CIE Tours needs sufficient notice to arrange for early delivery by regular service. For guests residing outside of North America, electronic itineraries/travel documents will be provided and your travel pack will be waiting for you at your first hotel.
TRAVEL PROTECTION PLAN: CIE Tours’ Travel Protection Plan, offered through Generali to U.S. guests traveling on departures through December 31, 2023, is optional, but highly recommended. When you purchase this Travel Protection Plan within 14 days of the initial deposit/payment for your trip, the CIE Tours’ Travel Protection Plan offered to U.S. guests permits you to cancel your trip up to 24 hours prior to your scheduled departure for a specified reason for cash reimbursement and up to 24 hours before your scheduled departure for any reason not otherwise specified for reimbursement in the form of travel vouchers. The Plan also protects you and your belongings while on your trip. Travel Arrangements must be purchased from CIE Tours to be eligible for reimbursement. Trip protection is non-refundable after 14 days from purchase. Terms and conditions for group insurance vary. Travel protection for 2024 departures is not currently available, but guests will be offered the opportunity to secure coverage once available.
TRAVEL ARRANGEMENTS
ACCOMMODATIONS: CIE Tours reserves the right to substitute hotels for accommodations in similar categories. In the event that a specified hotel in certain destinations is unavailable due to limited hotel inventory, CIE Tours will make every effort to re-accommodate the booking to a hotel of a similar category. When booking pre- and post- stay nights, we provide estimated rates based on standard hotel availability. At the time that the hotel confirms the booking, the rate may increase based on seasonality and availability
AIR TRANSPORTATION: CIE Tours offers special airfares when combined with our land arrangements. These special airfares are subject to availability and cannot be guaranteed until paid in full. Airfares are inclusive of all fuel, taxes and fees. Client must ensure that the name on the CIE Tours’ invoice matches the passport, as corrections or changes requested after reservation has been made are subject to cancellation or change fees. Airfares are guaranteed once they have been paid in full unless the airfare quoted at time of reservation is instant purchase which is only valid if paid in full and ticketed. CIE Tours is not responsible for penalties incurred for tickets, international or domestic, not issued by CIE Tours due to schedule and/or flight changes.
VISITS, ENTERTAINMENT, ITINERARIES AND OTHER FEATURES: CIE Tours reserves the right to substitute visits, entertainment and other features when establishments are closed or cannot be visited for reasons beyond our control, or for the general convenience of safety of the travelers.
MEDICAL & HEALTH
CIE Tours does not employ medical personnel. Any necessary medical attention must be sought at a local facility, if available, at the guest’s expense. CIE Tours is not responsible or liable for losses or costs incurred due to a required quarantine or other restriction or limitation of travel, unavailability of medical services, or medical services obtained while traveling, or for the quality of the care or services received. You are encouraged to purchase medical insurance that will cover you while traveling as your regular health insurance benefits may not apply abroad.
CIE Tours reserves the right to remove or quarantine any passenger who shows signs of illness, or who poses a threat to the safety and health of other passengers. Removal or quarantine of passengers for any health, safety, or behavior-related assessment is at the sole discretion of CIE Tours. Passengers will be allowed to rejoin CIE Tours with confirmed medical certification from a licensed health practitioner indicating that they are fit to travel without causing harm or posing a safety threat to other passengers.
TRAVELERS WITH SPECIAL NEEDS
Clients who require physical assistance or special accommodations of any kind must advise CIE Tours at time of booking and must travel with a qualified and physically able travel companion to provide such assistance. CIE Tours will make reasonable attempts to accommodate the special needs of disabled travelers but is not responsible in the event it is unable to do so. Neither CIE Tours nor its drivers or guides provide personal services (such as pushing a wheelchair, assisting with walking, etc.) and CIE Tours does not provide individual assistance to a vacation participant for walking, getting on and off motorized coaches, and other vehicles, entering/exiting attractions or other personal needs. As coaches are not equipped with wheelchair ramps, all tour members must be able to mount 3 or 4 steps into coach. Motorized scooters are unsuitable for the majority of our vacation packages but may be possible for private driver vacations.
If CIE Tours is not notified at time of reservation of any disability requiring special attention, CIE Tours reserves the right to cancel your booking or terminate your vacation if your special needs or disabilities are not suitable for the vacation, pose a threat to the health and safety of other participants or CIE Tours staff, are incompatible with other travelers, or if you are not traveling with a companion who provides all the assistance you require. CIE Tours reserves the right not to refund or cover any costs or expenses incurred for cancellation, booking, or termination of the vacation.
CIE Tours is not responsible for denial of services by carriers, hotels, restaurants, or other independent suppliers, nor any additional expenses incurred. Due to space restrictions, passengers wishing to take wheelchairs, oxygen tanks or other assistive devices must send a request in writing for approval prior to booking
OTHER TRAVEL POLICIES
CHILDREN/YOUNG ADULTS: CIE Tours vacations are recommended for ages 8 and older. Those aged 8 to 17 are charged 90% of the full adult rate and must travel with an adult. Unaccompanied travelers must be at least 18 years of age. Youth discounts vary for group and custom private driver bookings.
LUGGAGE: Handling of one piece of luggage per person is included in the cost of all coach tours. Size should not exceed 30 x 20 x 10 inches and weight should be under 50 lbs. Luggage is carried at owner’s risk throughout the tour unless insured. Trunk space in self-drive cars is limited so pack lightly, preferably using soft-sided suitcases. Airlines impose their own restrictions, with which clients must comply. Please check with your carrier regarding luggage restrictions and costs.
PHOTOGRAPHY ON TOUR: Occasionally CIE Tours will use photographs and/or video taken by fellow guests or your CIE Tour Director on tour for print, online, or other promotional media purposes. If you prefer that your image not be used in any marketing activities, please notify your CIE Tour Director at the start of your trip.
SMOKING POLICY: Smoking (including e-cigarettes) is not permitted on any motor coach.
CAR RENTAL
CAR RENTAL CATEGORIES: Car rental companies reserve the right to substitute cars for other models in similar category.
CREDIT CARD HOLD: To cover incidentals, Hertz will place a hold on your credit card when no insurance is purchased. The amount depends on the type of vehicle rented. This will be released at the end of the rental period provided there is no damage to vehicle.
INSURANCE: Our basic Hertz car rental price includes unlimited mileage, current local taxes, airport location service charges (LSC), third party liability, theft protection (TP) and collision damage waiver (CDW), which indemnifies the driver against damage to the rental car. Damage excess deductible amounts are not covered by CDW and range from €1,600-€3,000 depending on car rented.
SUPER COLLISION DAMAGE WAIVER (SCDW): To guard against potential financial exposure from CDW coverage, the driver may purchase SCDW at time of rental. Daily cost: €19.30-€35.00. DRIVER/BAGGAGE PROTECTION (DBP/PAI): Daily cost: €5.50.
ADDITIONAL CHARGES: Any optional charges that are accepted must be paid at time of rental. Driver is responsible for all gasoline, parking fees and tolls.
AGE LIMITS: Driver’s under the age of 22 and older than 80 are prohibited from renting cars from Hertz. Drivers aged 23-24 years are restricted to car types A, B & E and pay a daily surcharge of €26.00. Drivers 76-79 will require a letter from a licensed physician issued 1 month prior to the scheduled trip, stating that the traveler has been in good health for at least 12 months, along with a letter from your insurance company that says they have not been involved in any incidents in the past 5 years and must drive regularly and hold a current motor insurance policy.
EXTRA DRIVER(S) SUPPLEMENT: Daily cost per driver: €10.00 paid directly to Hertz at time of pickup.
DRIVER’S LICENSE: Drivers must hold a current national license valid for at least two years or more at the time of rental.
OTHER TERMS
RESPONSIBILITY: CIE Tours International Inc., its employees, directors, officers and shareholders (collectively, “CIE Tours”) does not own or operate any person or entity which would provide goods or services for your trip, including, for example, lodging facilities, transportation companies, local ground operators, including, without limitation, various entities which may utilize the name CIE or CIE Tours guides, entertainment, food or drink service providers, equipment suppliers, etc. As a result, CIE Tours is not liable for any negligent or willful act or failure to act of any such person or entity. In addition, CIE Tours is not liable for any negligent or willful act or failure to act of any person or entity it does not own or control, nor for any act or inaction of any other third parties not under its control. You may see the name CIE Tours, CIE Tours International, or CIE affixed to motor vehicles, on signs around the hotel or elsewhere. This use of those names is for reasons of identification and does not denote ownership, supervision, or control by CIE Tours in any way. Without limitation CIE Tours is not liable for any direct, indirect, consequential, or incidental damage, injury, death, loss, accident, delay, inconvenience or irregularity of any kind which may be occasioned by reason of any act or omission beyond its control, including, without limitation any willful or negligent act, failure to act, breach of contract or violation of local law or regulation of any third party such as an airline, train, hotel, bus, taxi, van, local ground handler or guide, financial default or insolvency of any supplier which is, to, or does supply any goods or services for this trip. CIE Tours is not liable for any loss, injury, death or inconvenience due to delay or changes in schedule, overbooking of accommodation, default, insolvency or bankruptcy of any third party, attacks by animals, sickness, the lack of appropriate medical care, evacuation to same, if necessary, weather, strikes, acts of God or government, acts of terrorism, or the threat thereof, force majeure, war, quarantine, epidemics or pandemics including COVID-19 or the threat thereof, criminal activity, or any other cause beyond its control. CIE Tours reserves the right at its sole discretion to alter an itinerary as it may deem necessary or advisable. CIE Tours reserves the right at its sole discretion to decline to accept or retain any passenger on any of its tours if it deems accepting or retaining any such person would be detrimental to the tour. In the event any passenger is removed from a trip, CIE Tours’ only obligation is to refund to that person that portion of the payment allocable to unused services. Each provision of this clause is severable and if any provision is held to be illegal, void or unenforceable in whole or in part, the legality, validity and enforceability of the remaining provisions shall not be affected or impaired. Changes in these Terms and Conditions can be made only in writing signed by an officer of CIE Tours. Prior to full payment there is a potential for a price increase(s) due to fuel surcharges imposed by airlines or other suppliers, as well as the potential for increases in government-levied taxes and fees. Once full payment is made, there will be no price increases. Passengers may accelerate full payment to avoid any price increases. Once issued, airlines tickets are no longer subject to potential increases but are subject to cancellation fees and penalties and may be fully non-refundable.
BINDING ARBITRATION: Any disputes concerning this contract, the brochure or other literature about your trip or the trip itself shall be resolved solely and exclusively by binding arbitration according to the then current commercial rules of the American Arbitration Association. Any such arbitration will take place in Morris County, New Jersey. In any such arbitration, the substantive (but not procedural) law of Delaware will apply. The arbitrator and not any federal, state, or local court or agency shall have exclusive authority to resolve any dispute relating to the interpretation, applicability, enforceability, conscionability, or formation of this contract, including but not limited to any claim that all or any part of this contract is void or voidable.
PRICE VALIDITY: All rates on the website are quoted on a per person, double occupancy basis. For 2023 tours, rates are valid through December 31, 2023, and are calculated on currency rates and fares existing on June 1, 2022; rates for 2024 tours are calculated on currency rates and fares existing on March 1, 2023 and are subject to change. Unless otherwise indicated, all prices are shown in U.S. dollars. CIE Tours reserves the right to alter prices at any time without prior notice if circumstances so warrant. Any devaluation or revaluation of currencies may affect published prices.
ERRORS & OMISSIONS: While every effort is made to ensure the accuracy of information in our brochures, on our website or communicated by our reservation staff, errors or omissions are possible and CIE Tours is not responsible for such error. If a mistake is made in billing, we reserve the right to correct the invoice and you will be responsible for proper payment.
DATA PROTECTION AND PRIVACY: CIE Tours respects your privacy and is committed to protecting it. We collect and use data relating to you in order to deal with your query or complete your order. This personal data may include your name, date of birth, contact details and bank details. We use your personal data to create a booking file, to process your order and to administer your tour. We collect your personal data in order to comply with our legal obligations and to perform any contract that we enter into with you. Where relevant for your booking, we may disclose your personal data to other organizations, such as transport providers, tour guides and hotel. Your data may be transferred outside of the European Economic Area.

YOUR VACATION BOOKING
Brendan Vacations, Inc. is the ‘Sales Company’; Brendan International Holdings Ltd., Ireland, Trafalgar Tours Limited, Guernsey, CI, and Hertz Car Rental, Park Ridge, NJ, are the ‘Operator;’ collectively these companies are referred to as ‘Brendan’ or ‘Brendan Vacations.’ Your agreement is with Brendan Vacations and a contract is formed when you make a reservation with us that we accept. Enrolment in and payment for a guided vacation shall constitute acceptance by the guest of the terms and conditions in this document. These cannot be varied except in writing by an officer of the Company.
All contracts with Brendan Vacations are made subject to the terms of these booking conditions.
We reserve the right to change these booking conditions at any time prior to you making a booking.
The invalidity of any provisions herein shall not affect the validity of any other provisions. The agreement shall be construed as though the invalid provision was not contained herein and was replaced with an enforceable provision as similar as possible to the original provision. Should any conflict arise between these booking conditions and those contained within our brochures, these booking conditions shall prevail.
Departure Date Security The departure date is the date indicated on the booking confirmation. Security is a major concern to all of us and the situation globally is constantly changing. Events around the world, coupled with the “Travel Advisories” put out by various governments, may at times necessitate changes to the accommodations and itinerary or even trip cancellation. You must accept these risks involved in travel to any country that may experience security difficulties and accept responsibility for your own travel decisions.
Travel Insurance Travel insurance is highly recommended for all guests covering all applicable dates of travel with Brendan Vacations. This insurance must cover; trip interruption, personal injury, medical expenses, evacuation and repatriation cover including during pandemic events. The choice of insurer is yours. The availability of travel insurance and extent of cover is constantly changing, please refer to our website Brendanvacations.com for most up-to-date information or talk to your reservation agent. Brendan Vacations may receive a commission for introducing you to a travel insurance provider. Brendan Vacations cannot be held responsible for your failure to obtain insurance which is appropriate and we recommend you purchase your insurance at or soon after booking your trip. Brendan Vacations will not be held liable for any costs incurred by the guest resulting from their failure to obtain adequate travel insurance.
COVID-19 An inherent risk of exposure to COVID-19 exists in any public place where people are present. COVID-19 is an extremely contagious disease that can lead to severe illness and death. According to the WHO senior citizens and guests with underlying medical conditions are especially vulnerable. We ask that you please take personal responsibility for your wellbeing. This begins with packing any personal protective equipment and sanitisers you require. Please adopt physical distancing and hygiene practices throughout your pre-trip travel arrangements and follow all health instructions whether physical signage, or requests from our professional staff, once you are holidaying with us. To travel with Brendan Vacations, you voluntarily assume all risks related to exposure to COVID-19. Full details of hygiene protocols can be found on our website.
Force Majure
Force Majure Event means any event or circumstance beyond the control of Brendan Vacations, including but not limited to: (a) an act of god (such as earthquake, flood, fire, explosion, landslide, lightning, action of the elements, force of nature, washout, typhoon, hurricane, cyclone, tsunami, storm or storm warning or natural disaster); (b) industrial disputes, work ban or other labour dispute or difficulty; (c) acts of terrorism, political unrest, war or threat of war, riots or civil strife; (d) failure or delays to scheduled transportation and the closure of airports or ports; (e) pandemic, epidemic or health risk; (f) governmental and administrative actions (including closure of borders and travel warnings and restrictions).
RESERVATIONS AND PAYMENTS
- Your trip will be confirmed after receipt of a non-refundable deposit as detailed in the Summary Booking and Cancellation Terms table. We reserve the right to refuse a booking without giving any reason and shall in that event return any deposit received. For Guided Vacations, if the deposit is not received within 3 days of booking, the reservation will automatically be cancelled; on certain departures, deposits may be required at time of booking to hold seats. For all other travel-style vacations a deposit is required to confirm the booking.
2. Air-inclusive bookings may require an additional non-refundable deposit or payment in full at the time of booking, see Air Arrangements section below.
3. We may from time to time offer deposits at a reduced amount (Promotional Deposits) and these may be subject to different terms and conditions as specified by us. Such terms and conditions prevail to the extent of any inconsistency with these Booking Conditions
4.Final payment for your trip reservation will be due prior to departure no later than as detailed in the Summary Booking and Cancellation Terms table. When making multiple trip bookings, full payment is for all trips according to the scheduled departure date of the first departing trip. Payment in full will be required at time of booking for reservations made later than the final payment due date (see Summary Booking and Cancellation table) prior to the trip departure date. Some special promotions may have different payment deadlines and cancellation terms.
5. Brendan Vacations reserves the right to cancel the reservation and impose cancellation charges if any payment is not received as detailed within the Summary Booking and Cancellation table. Brendan Vacations will not be responsible for lost land and/or air reservations.
6. Credit Card Bookings: Brendan Vacations should be advised of your credit card number when making your reservation directly with us. For security purposes, we are required to collect the guest’s credit card billing address, card expiration date and the customer verification code every time a payment is applied.
7. Your Travel Agent shall hold all monies for each and every person named in the booking until the booking is confirmed at which time your Travel Agent shall provide those monies promptly to us. You consent to us depositing monies received by us as required by law. We will be entitled to keep interest earned on monies.
Booking Changes
Name Changes
Brendan Vacations does not charge for name changes or name corrections, however where third party costs are incurred these will be passed on to the guest. Not all airlines allow name changes or name corrections and a new airfare may need to be purchased which will be passed onto the guest.
Other Booking Conditions
Guided Vacations: Brendan Vacations does not charge for minor booking changes however where third party costs are incurred these will be passed on to the guest. Costs and charges may increase the closer to the departure date that changes are made. We will try to make your requested change but it may on occasion not be possible. A change of trip date or itinerary after final payment is due (see Summary Booking and Cancellation table) of departure date will be treated as a cancellation. Cancellation fees will apply except when the change is to an alternative departure and the trip price is equivalent or greater, in which case any amendment costs incurred including airline charges and fees will be charged.
All other travel style vacations: Brendan Vacations includes the following change of booking fees in the event that an itinerary has been fully confirmed and is within 60 days of travel

Please note that itinerary changes will not be accepted within 7 days of the departure date. In the event that third-party costs are incurred these will be passed on to the guest in addition to the change of booking fees outlined. Costs and charges may increase the closer to the departure date that changes are made. We will try to make your requested change but it may on occasion not be possible. A change of trip date or majority itinerary after final payment is due (see Summary Booking and Cancellation table) of departure date will be treated as a cancellation.
Cancellation and Refunds
Cancellation by Traveler
Travel arrangements for any member of the party may be cancelled at any time by written notice by the person who made the booking.
If notice of cancellation is received by Brendan Vacations before final payment is due (see Summary Booking and Cancellation table), the deposit will be retained If cancellation is made after final payment is due cancellation fees will apply (see Summary Booking and Cancellation table). Please also refer to Air Cancellation Section where applicable.
Notice of cancellation must be made in writing directly to Brendan Vacations or through your Travel Agent.
If a person in a party cancels and there is a room change caused by this cancellation (such as a Double to Single, or Triple to Double), charges for the new room type will be the responsibility of the remaining party.
If a guest fails to join the trip on the day of departure, cancellation fees will be 100% (unless the guest notifies us of the delay and joins the trip later at their own expense).
Cancellation fees as per the Summary Booking and Cancellation table apply to additional accommodation and/or chargeable transfers prior to and after the trip, itinerary extensions or cruise reserved through Brendan Vacations.
Cancellation by Brendan Vacations
Brendan reserves the right, to modify or cancel any trip (definite or not), accommodation, in-destination activity or arrangement at any time.
Cancellation due to Failure to Pay
If full payment is not received by the due date (see Summary Booking and Cancellation table), Brendan Vacations has the right to cancel your reservation and no refund will be made. Brendan will not be responsible for lost reservations.
Cancellation due to Force Majure Events
If Brendan cancels a trip as a result of a Force Majeure Event, a future travel credit (FTC) to the value of funds paid to date less any third-party costs incurred will be provided. All FTCs will be valid for 24 months from date of issue.
Where a trip is terminated mid-trip due to a Force Majure event, if we provide you with any alternative services or assistance (such as hotels or travel) then you agree to pay for these costs.
Cancellation due to Events other than Force Majure Events
If the cancellation by Brendan is not as a result of a Force Majure Event, Brendan will provide an alternative comparable trip (if available) if an alternative is not available then a refund will be made. Brendan is not liable for any cancellation or change cost or penalties incurred on other travel arrangements, including air travel, that may be affected thereby.
Brendan is not responsible for other travel arrangements that you or your party have made outside Brendan and which are affected by our cancellations.
Early Return, Illness or Absence
Early return expenses are the guest’s responsibility. There is no refund for absence or early departure from a trip, including but not limited to missed hotels, transfers, meals or sightseeing cruises or optional extensions. Brendan urges you to purchase travel insurance which covers such circumstances. Brendan makes no representation or guarantees concerning reimbursement, scope of coverage, or other aspects of any travel insurance policy or claim.
Accommodation during Scheduled Tours
All accommodation providers used by Rabbie’s are selected for their quality, value and friendliness. We work with a range of properties – hotels, inns, guest houses and B&B properties. Hotel accommodation, where limited in certain areas, might not always be available. We will accommodate hotel requests in guesthouses or B&Bs of 3 star standard or higher and offer a discount, which will be individually advised. Where a room for 2 passengers has been requested by the Operator but not confirmed as a double or twin room, the Company will default the request to a double room. Overnight stops may move to an alternative location when major events are being held and accommodation is not available. Accommodation is dispersed around various towns and villages, rarely more than a 10-15 minute walk from the centre, although on occasions this can be 20-30 minutes. Taxis may be available, if necessary.

For all extended scheduled tours (being tours of more than one day, with a specific itinerary, which are available for booking on scheduled dates from scheduled departure points “extended tours”), the RABTO 3 Terms & CondiTions o f Booking the policies of the relevant accommodation providers. Accommodation for tours outside of the UK and Ireland may be arranged by the Company through an intermediate supplier. Bookings are made subject to the terms and conditions of the relevant accommodation provider and the Company acts solely as an intermediary in arranging accommodation with the relevant accommodation provider or supplier. Unless otherwise agreed with the Company that payment for accommodation is made by the Operator, payment for accommodation should be made directly by your Client to the relevant accommodation provider. In addition to the cancellation charges outlined in these terms, cancellation of accommodation booked by us on your behalf may also result in you/your Client being liable for cancellation charges levied by the relevant third party provider. Typically the charge made will be the cost of one night’s accommodation for each separate accommodation booked (unless the effective cancellation date is within 72 hours of the departure date for the relevant tour, in which event you/your Client may be liable for all accommodation costs). Any such costs or charges should be payable to us, so that we may remit them to the relevant provider on your behalf. Admission fees or guided tours are not included in the tour price unless expressly stated in the tour description.
Luggage
As we operate our tours in mini-coaches our luggage space is limited and we operate under strict legal weight regulations for safety reasons.
Unless otherwise notified, passengers are restricted to one medium sized suitcase/bag similar to airline standard carry-on luggage, with a maximum weight of either 14kg (31lbs) or 20kg (44lbs).
As a guideline, the dimensions of a 14kg bag should be approximately 55cm x 45 x 25 (22ins x 17 x 10). You can also bring a small, lightweight bag for personal items to carry with you on the vehicle.
As this is a legal requirement, we reserve the right to refuse to carry luggage over this weight/size and may refuse travel for passengers who do not have arrangements in place to store excess baggage. Please see our FAQs for information on luggage and storage facilities
Luggage is carried free of charge but at the passenger’s own risk. It is the passenger’s responsibility to ensure that luggage is fit for travel, i.e sturdy and waterproof. Travellers have to be able to lift their own luggage. You may have to carry your bag to and from your accommodation.
Smoking
Smoking (including e-cigarettes) is not permitted on coaches but there are frequent stops en route for those passengers who wish to smoke.
Travel protection plan
Crystal Travel & Tours, Inc.’ travel protection plan is intended to safeguard your travel investment and your well-being while on vacation. Policy coverage only becomes effective upon receipt by Crystal Travel & Tours, Inc. of the premium, which is required with the trip deposit. Once you pay the premium, we will send a certificate of insurance with your final documents. The plan also covers airfares purchased separately, provided cancellations are made for covered reasons.
